Claims Officer

About The Role
Ventia have been engaged by the DJCS (Department of Justice and Community Safety) to provide integrated Facility Management services incorporating planned, preventive, and reactive maintenance services, ad hoc services, and soft services including cleaning, ground, pest, and waste streams.

We are seeking a Claim Officer who will be responsible for managing subcontractor claim approval processes, managing compliance processes with the subcontractor to ensure the resolution of claim issues, and assisting in reporting of subcontractor compliance on claim requirements, within the VIC DJCS project.

This is a Permanent Full-Time position in the Grovedale region of Geelong. 

Responsibilities will include, but not limited to:

• Assess submitted documentation to verify its completeness and accuracy.
• Confirm that labour categories, hours worked, and materials used are correctly claimed.
• Ensure that the total claimed amount for quoted jobs does not exceed the approved quote.
• Keep the Subcontractor Claim Approval Manual up to date.
• Address subcontractor inquiries regarding rejected claims with communications as to why to the subcontractors.
• Collaborate with Service Delivery Managers to resolve complex vendor issues.
• Support efforts to follow up with subcontractors to ensure timely claim submissions.
• Assist in tracking and reporting subcontractor compliance with claim procedures.

About You: 

You will have experience working in a similar position accompanied with:

• Well-developed computer skills, including a working knowledge of databases, spreadsheets and word processing.
• Well-developed written and verbal communication skills, including the ability to establish and maintain effective working relationships with a broad range of internal and external stakeholders.
• The ability to manage multiple tasks and meet challenging deadlines.
• Self-starter with the ability to work autonomously and collaboratively in a team environment.
• Excellent time management skills.
