Operations & Maintenance Coordinator

We are seeking a dedicated and passionate individual with strong organisational skills to join our team as an Operations & Maintenance Coordinator and support the Across Government Facilities Management Arrangement (AGFMA) contract and Government Employee Housing (GEH) contracts. This role will be based at Port Lincoln, South Australia on a full-time permanent capacity.
As the Operations and Maintenance Coordinator you will be responsible for supporting the Operations Team to ensure compliance and delivery across a range of processes and key objectives which are aligned to agreed client deliverables, including the scheduling of asset maintenance plans and financial administrative management of assets within the APY Lands team, and working closely with the GEH team.
This role will require end to end coordination within the Operations team across a range of financial administrative and support processes, which will include work order management, subcontractor invoicing, management of contractor performance, records, and maintenance scheduling.

Your responsibilities will include (but not limited to):
- Proactively maintain, schedule and dispatch routine maintenance to workforce resources, monitor the status of dispatched work orders and support Facilities Managers to communicate with subcontractors to ensure receipt, acknowledgement and close-out of works ensuring adherence to required timeframes.
- Provide triage and custodianship of all scheduling faults, requests, and problems.
- Proactively support the Operations team in problem solving, investigating, and resolving subcontractor and client queries.
- Effectively use systems (SAP, Panorama etc) to monitor KPI compliance, including generating and distributing ad-hoc and routine reports from any specific system and/or program.
- Liaise with the Operations Manager to coordinate investigation for non-compliance or poorly trending KPIs and contribute to the development of corrective actions.
- Support the Operations Team in ensuring up to date client standards and procedures are made available across the team and contractor base.
- Manage systems and processes to enable timely and accurate administrative recording, including filing, maintenance of Project registers, and other administrative activities.
- Contribute to the development/upkeep of technical procedures, work instructions, inspection, and check lists.
About you
- Previous proven experience in a similar position
- Tertiary qualification in Finance or Business Administration (Desirable)
- Previous experience and knowledge of SAP (Highly Desirable)
- Intermediate Microsoft Excel experience (Essential)
- High level of attention to detail, initiative, analytical and problem-solving skills.
- Strong customer service & communication skills
