The Opportunity

Ventia’s Transport sector is in search of a Bid Coordinator to support the preparation, coordination and production of bids and submissions for national and state based tender opportunities. The role requires the preparation of clear and concise documents as well as communications that meet Company guidelines and standards.

Primary responsibilities:

  • Assist in the bid / tender process, supporting the team to prepare submissions
  • Support tender submissions with post-completion activities
  • Prepare professional responses to all tender document types
  • Manage tender timeframes to ensure on time delivery is met including the planning of meetings, briefings/site visits, reviews, sign off and submission requirements
  • Prepare visual materials, determining appropriate design and content
  • Manage all client communication in relation to tender submissions
  • Identify and suggest improvements in content, processes and procedures
  • Provide administrative support to the Bid team
  • Monitor and maintain understanding of relevant legislation, regulations and standards to ensure any changes are addressed accordingly

  • Bid training and/or experience is highly regarded
  • Experience incorporating graphic design in communications
  • Exceptional verbal and written communication skills
  • Strong organisational skills – ability to manage conflicting priorities with ease
  • Advanced SharePoint and MS Suite user – Word/Word Macros in particular  
  • Attentive to detail
  • Familiarity in following sales methodologies such as those by Miller Heiman or Shipley would be highly regarded
  • Experience working to tight deadlines
